Privacy Notice: Meetings and minutes (meet.transgenia.org)
Key points
- Controller: Centrum Transgenia SAS (trading as Transgenia).
- Data collected when you join a meeting: name, email address and your acceptance of this notice, plus your IP address and technical connection data for service security. Transgenia staff who manage rooms sign in with their verified corporate email.
- Transcription data, only in rooms with transcription turned on: the audio of your own microphone while you take part unmuted, the resulting transcript with your name, the minutes, and participation metrics (talk time, words per minute, turns and interruptions).
- How it is recorded: your browser records only your microphone, after you join the meeting and grant permission; a visible indicator shows it while it happens. While you are muted, no audio is recorded or sent. We do not record video.
- Purposes: running the video call; transcribing the meeting and producing minutes (summary, key points, decisions, tasks, risks, open questions and a sentiment analysis of the conversation) as a draft for human review; emailing you the transcript and the minutes only if the room host approves it; and service security.
- No automated decisions: the minutes are a draft that a person reviews before they are shared. The sentiment analysis describes the tone of the conversation from what was said and from participation; it does not assess people and does not measure tone of voice.
- Processors and transfers: 8x8 (Jitsi as a Service) provides the video call; OpenAI processes the audio and the transcript to transcribe the meeting and draft the minutes; Cloudflare protects and delivers the site. These providers act as processors and may handle data outside Mexico, including the United States, only for these purposes. We do not sell or share your personal data.
- Retention: audio is deleted once it has been transcribed and, in any case, no later than 24 hours later; transcripts, minutes and participant email addresses are kept for 9 months and then deleted; if the host deletes the room, its transcripts, minutes and participant data are deleted immediately. Emails already sent remain in their recipients' mailboxes.
- Consent and withdrawal: by joining you accept this notice. You can mute your microphone or leave at any time, and ask not to receive a copy or to have your data deleted by writing to notificaciones@transgenia.org.
- ARCO rights: requests for access, rectification, cancellation or objection are handled at notificaciones@transgenia.org.
- Security measures: encrypted connections (HTTPS), an administration panel restricted to verified Transgenia accounts, access-restricted storage, and technical logs that do not store meeting content.
